January - February 2024 - Sandbox/Workshop
Status: In Progress
Two vendors have been selected to go through the sandbox stage. However, this is not going to be a traditional sandbox process. Instead, vendors will be onsite for a few days and provide a detailed workshop of their software. FM staff will have the opportunity to perform some of the tasks shown and ask questions1.
October 2023 - Vendor's presentations and demostrations
Status: Completed
A group of vendors has been carefully selected to commence product presentations and demonstrations starting in October. We will cordially invite interested parties to join these sessions and contribute their insights and opinions through survey participation.
September 2023 - Request for Proposal (RFP) submission scoring
Status: Completed
The Request for Proposal (RFP) Has been posted in Bonfire. FMTS, in conjunction with Procurement, will be going through and score the documents submitted by vendors.
A shortlist of vendors were asked to present and demonstrate their product.
January 2023 - Request for proposal (RFP)
Status: Completed
Definition: A request for proposal (RFP) is a document that solicits proposal, often made through a bidding process, by an agency or company interested in procurement of a commodity, service, or valuable asset, to potential suppliers to submit business proposals.
FMTS, in conjunction with Procurement and Michel Theriault from FM Insight Consulting, will start building the RFP. User interviews, documents and knowledge from the RFN will be used for this process. Completion target date is June 2023.
December 2022 - Request for needs
Status: Completed
Definition: Request for needs (RFN) is the process to communicate a need for services. The RFN invites relevant vendors to submit a proposal to meet the desired need. More specifically, the RFN is a document that explains a project’s needs and asks for proposed solutions from potential vendors.
Early in December the Procurement team and FMTS started to interview vendors that submitted/applied documentation for the RFN.
We had an excellent turnout of relevant vendors for this process and gather valuable information that will be key to build the Request for proposal (RFP) starting in January.
13 vendors were interviewed, most of them are major players in the CMMS business. Some of the vendors and integrators that were interviewed are IBM Maximo, Archibus, Limble, Cityworks, JLL, TMA

November 1, 2022 - Interviews completed
Status: Completed
Michel Theriault successfully interviewed over 20 Avantis users, super users and administrators and provided an excellent requirements document that will be used for the RFN and RFP processes.
