Scope of work

Examine and document future enhancements requirements in processes & capabilities and prioritize for recommended solution.  Replace Avantis Maintenance Management System while maintaining consistent functionality for users.  Provide robust training and documentation resources for users with appropriate change management approaches.

  • Work Request & Work orders – create, plan, view, schedule & print if required
  • PMs – create, plan, generate work orders automatically based on equipment schedules
  • Entities – robust parent/child structure – create, capture costs, document locations, utilize bar codes, and campus assignment areas/zones
  • Inventory – inventory management, issue, receive, replenish, pick lists, tool crib materials
  • Time cards – seamless data capture that references a work order, see requirements from Labour Management Replacement project
  • User experience – platform, user profiles, menus, reporting, dashboards/analytics, network printing, etc.
  • Administration & Security – user security, LDAP authentication, data integrity
  • Distributed Labour Rates - effective dating, assign to individuals for cost tracking on work orders
  • Integrations to PeopleSoft Financials & Mustang Market – labour, material, vendors, speed codes, purchase orders/requisitions
  • Data migration from Avantis to IFC Cloud
  • Mobile app – view & create work orders, capture and view photos, enter time cards, read bar codes and/or QR codes, issue stores material
  • Documentation - current business processes and new processes
  • Testing – test plans, validation of data migration and expected functionality
  • Training – system administrator, end-user for routine and non-routine capabilities
  • Implementation – coordination with vendor consultant/Project Manager
  • Lessons Learned – findings and related opportunities for improvement
  • User feedback solicitation after implementation and continuous improvement strategy
  • Document items that will considered and prioritized for future phases, related processes
